Creating a Pre-Incident Plan

Specifying the Pre-Incident Plan Information Section

  1. In the Dashboard page, click + Create New Report.
    1. The +Create New Report sub-menu appears.

  2. Click Pre-incident Plan.
    1. You will be directed to the New Pre-Incident Plan page.
  3. Specify the Pre-Incident Plan Information section.

    Specifying the Plan Name

  4. In the Name field, enter the name of the plan to be created.
  5. Select the Make Report Private? checkbox to make this report private.
  6. In the District field, enter the district to which the target site is assigned to.

  7. In the Address field, enter the address for the target site.
  8. In the City field, enter the city where the target site is located.

  9. In the State field, enter the state.
  10. In the Zip Code field, enter the Zip Code.
  11. In the Description field, enter a description of the target site. This can be important information about the target site's (a) construction, (b) hazards, or (c) special requirements.

  12. Scroll down at the bottom of the page and click Save Report or continue adding plan details.

Adding Notes and Hazard Information

After specifying the Pre-Incident Plan Information section, you can add notes and hazard details through the Notes and Hazard Information section.

  1. Scroll down to the Notes and Hazard Information section.
  2. Click Add a Note.
    1. Additional fields will be activated.

  3. In the Title field, enter the title of the note and/or hazard information.
  4. In the Description field, enter the details of the note and and/or hazard information.

  5. You can add multiple notes by clicking the Add a Note button again and enter the information on the activated fields.
  6. To delete a note, click the Delete Note icon.

    1. The activated fields and the contents will be deleted.
  7. Scroll down at the bottom of the page and click Save Report or continue adding plan details.

Creating Maps

Maps on Pre-incident Plan provides informative guide on equipment placement and firefighting positioning, hence increasing the efficiency of preparation and action. See the Mapping tool guide for more information.

Adding Image

  1. Scroll down to the Images section.

  2. Click Add an Image.
    1. Additional fields will be activated.
  3. In the File field, click the Browse button to upload an image.
    1. The File Location window opens.

  4. Select the image to be uploaded and click Open.
  5. In the Name field, enter the name of the image.
  6. In the Description field, enter the image's description.

  7. You can add multiple images by clicking the Add an imageicon again and repeat the process.
  8. To delete an image, click the Delete button.
    1. The activated fields and the contents will be deleted.
  9. Scroll down at the bottom of the page and click Save Report or continue adding plan details.

Adding Documents

  1. Scroll down to the Documents section.
  2. Click Add Document.
    1. Additional fields will be activated.

  3. In the File field, click the Browse button to upload a document.
    1. The File Location window opens.
  4. Select the document to be uploaded and click Open.

  5. In the Description field, enter the document's description.
  6. You can add multiple documents by clicking the Add Documenticon again and repeat the process.
  7. To delete a document, click the Delete icon.
    1. The activated fields and the contents will be deleted.
  8. Scroll down at the bottom of the page and click Save Report.

Viewing Pre-Incident Plans

Access the Pre-Incident Plans using the Quick Links, or in the Dashboard from the Reports tabs.

How to View the Pre-Incident Plans Using the Quick Links Bar

  1. In the Quick Links Bar, click Pre-Incident Plans.
    1. The Pre-incident Plans page opens.

  2. Search the plan using the search filter, click the Search drop down arrow to select the search filter
    1. Search by Name
    2. Search by Address
    3. Search by District
  3. Click the Magnifying Glass icon to start searching.
    1. Related results will appear in the list below.
  4. Select the plan.
    1. The selected plan opens.

  5. To edit the plan, click the Edit button.
  6. To share the plan, click the Share button.

How to View the Pre-Incident Plans Using the Dashboard

  1. In the Dashboard, click the Pre-Incident Plans tab.
    1. The Pre-Incident Plans tab opens.

  2. In the Pre-Incident Plans tab, select a plan on the list.
    1. The selected plan opens.

  3. To edit the plan, click the Edit button.
  4. To share the plan, click the Share button.

Editing the Pre-Incident Plan

  1. Select an existing Pre-Incident Plan.
    1. The existing Pre-Incident Plan opens.
  2. Click the Edit button.
    1. The Edit Pre-Incident Plan page opens.

  3. Edit each field if necessary.
  4. Scroll down at the bottom of the page and click Save Report after editing.

    1. Changes will be saved.

Plan Preview

  1. After editing the selected Pre-Incident Plan, view the edited version by clicking the View button.
    1. The edited version of the selected Pre-Incident Plan opens.

Share the Plan

  1. Select an existing Pre-Incident Plan.
    1. The selected Pre-Incident Plan opens.
  2. Click the Share button.
    1. The Share this Report window opens.

  3. Select the checkbox of the contact/s you intend to share the plan with.
  4. Click Share Report.
    1. The Plan will be shared with the selected contact.

Duplicate the Plan

  1. Select an existing Pre-Incident Plan.
    1. The selected Pre-Incident Plan opens.
  2. Click Edit.
    1. You will be directed to the Edit Pre-Incident Plan page.

  3. Click the Duplicate button.
    1. The Duplicate this Report window opens.

  4. In the Name field, enter desired name of the duplicate copy.
  5. In the Copy as field, click the drop down arrow to select the preferred copy type.
  6. Click Duplicate Report.
    1. The Plan will be duplicated.
